How Should a Brevard County Business Reply to a Negative Google Review?
Reply once, in public, in a calm and short way. Name the issue, offer a way to fix it offline, and do not argue. Verify your profile first, since Google only lets verified businesses reply. Flag a review only if it breaks Google's content policies. Never threaten or pressure a reviewer to remove it.
What happens when you reply?
Google's help page says:
- You must verify your business before you can reply.
- Google reviews each reply against its content policies. It usually takes up to 10 minutes but can take up to 30 days. If a reply is not approved, you will be asked to edit it.
- An approved reply is public, appears as your business (not your personal name), and notifies the reviewer.
- Customers can change their review after reading your reply.
What should a reply include?
| Part | Example idea |
|---|---|
| Thanks | Thank them for the feedback |
| Specific acknowledgment | Name the issue they raised |
| Next step | Give a contact path to resolve it |
| Short length | Two to four sentences |
Google says to keep review replies short and simple, and to focus on a helpful update instead of the same thank-you to everyone.
What are the steps?
- Wait before replying. Read the review twice.
- Check the facts in your own records.
- Draft the reply. AI can help, but you must edit it.
- Leave out private details. Google's content policy does not allow private or confidential information in content. Do not share anything about the customer's account, health, or job.
- Post the reply.
- Follow up offline if they respond.
- Check later to see whether they update the review.
When can you flag a review?
Google says you can flag a review you believe violates its content policies. Disagreeing with the rating is not a policy violation. Google's Maps policy covers fake engagement and conflicts of interest. Flagging does not guarantee removal.
What does the FTC say about suppressing reviews?
The FTC's Consumer Reviews and Testimonials Rule bars using unfounded legal threats, physical threats, intimidation, or false public accusations to stop someone from posting a review or to make them remove one. Replying politely is fine. Pressure is not. See Fruxd's guide to the FTC review rule.
What this won't do
A good reply will not erase a bad review or guarantee a changed rating. For a healthcare provider, replies can create privacy risks, so see Fruxd's post on dental and medical offices.
This post is general legal information, not legal advice. Rules change; talk to a Florida attorney about your situation.
FAQ
Can I delete a bad review?
Not directly. Google's help page offers two tools: replying, and flagging a review that violates its content policies.
Will the reviewer see my reply?
Yes. Google notifies the person who wrote the review.
How long until my reply posts?
Usually up to 10 minutes, sometimes up to 30 days.
Can I offer a refund for a changed review?
Google bans offering incentives for reviews. Resolve the problem, but do not tie the fix to a review.
